Customer Summaries

Learn how to view customer booking history, appointment requests, and invoice information.

Overview

The Summaries tab provides a comprehensive view of a customer's activity with your business. You can see their online booking history, appointment requests, and all invoices associated with their account. This helps you understand customer behavior, track their history, and provide better service.

Accessing Customer Summaries

  1. Open the customer you want to view
  2. Click on the Summaries tab
  3. You'll see two main sections:
    • Online Bookings - Appointment requests and booking history
    • Invoices - All invoices for this customer

Online Bookings

Viewing Online Bookings

The Online Bookings section shows all appointment requests made by this customer through your booking system.

Booking Information Displayed

For each booking, you'll see:

  • Device - Icon showing whether the booking was made from:
    • 📱 Mobile - Booked from a mobile device
    • 💻 Laptop/Desktop - Booked from a computer
  • Name - The name used when making the booking
  • Appointment Date - The date and time of the appointment:
    • Start time (DD-MM-YYYY HH:MM)
    • End time (HH:MM)
  • Status - Current status of the booking request

When No Bookings Exist

If the customer hasn't made any online bookings, you'll see:

  • "No online bookings found" message

Note: This section only shows bookings made through the online booking system. Appointments created manually in the calendar may not appear here.

Understanding Booking Status

Booking statuses help you track the state of each appointment request:

  • Pending - Booking request is waiting for confirmation
  • Confirmed - Booking has been confirmed
  • Cancelled - Booking was cancelled
  • Completed - Appointment has been completed

Invoices

Viewing Customer Invoices

The Invoices section displays all invoices associated with this customer.

Invoice Information Displayed

For each invoice, you'll see:

  • Invoice Name - The name or identifier of the invoice
  • Price - The total amount of the invoice (formatted as € XX,XX)

When No Invoices Exist

If the customer doesn't have any invoices, you'll see:

  • "No invoices for this customer" message

Invoice Details

Note: Clicking on an invoice may take you to the full invoice details in the Finance section, depending on your system configuration.

Customer Activity Overview

Understanding Customer History

The Summaries tab helps you:

  • Track Frequency: See how often the customer books appointments
  • Identify Patterns: Notice booking preferences (time of day, day of week)
  • Monitor Engagement: See if they're a regular customer or occasional visitor
  • Financial Overview: Understand their spending history through invoices

Customer Sidebar Information

When viewing a customer, the sidebar shows quick stats:

  • Created Date: When the customer profile was created (typically their first booking date)
  • Number of Appointments: Total count of all appointments
  • Notes Summary: Preview of recent notes

Reviewing Customer Summaries

  • Regular Review: Check customer summaries periodically to understand their patterns
  • Identify Trends: Look for changes in booking frequency or preferences
  • Follow Up: Use booking history to follow up with customers who haven't visited recently
  • Personalization: Use history to personalize service and recommendations

Using Booking Information

  • Service Preferences: Notice which services customers book most often
  • Timing Preferences: Identify preferred appointment times
  • Frequency: Understand how often customers visit
  • Engagement: Track customer engagement and loyalty

Using Invoice Information

  • Spending Patterns: Understand customer spending habits
  • Service Value: See which services generate the most revenue
  • Follow-up Opportunities: Identify customers who might be interested in packages or promotions
  • Payment History: Track payment patterns (if applicable)
