Managing Employees

Learn how to view, edit, and delete employees in your system.

Overview

Once you've created employees, you'll need to manage them regularly. This includes viewing employee lists, editing employee information, updating schedules, and removing employees who are no longer with your team.

Viewing Employees

Accessing the Employees List

  1. Navigate to the Employees section in your main menu
  2. You'll see a table showing all your employees with:
    • Employee photo
    • Display color
    • Name
    • Assigned locations
    • Booking Widget status (Available/Not available)
    • View button

Understanding the Employee List

Employee Photo

  • Shows the employee's profile photo (or default icon if no photo)
  • Circular display for easy recognition

Display Color

  • Color-coded indicator used in calendar and system displays
  • Helps quickly identify employees

Name

  • Employee's display name
  • Clickable link to view/edit the employee

Locations

  • Shows badges for each location where the employee works
  • Displays "No locations assigned" if none are set
  • Helps see which employees work at which locations

Booking Widget Status

  • Available (green badge) - Employee can be booked through the booking widget
  • Not available (red badge) - Employee is not available for online booking

Viewing Employee Details

To see full details and edit an employee:

  1. Click on the employee name (it's a clickable link)
  2. Or click the "View" button in the rightmost column
  3. You'll be taken to the employee detail page with multiple tabs:
    • Contact Information - Basic details, contact info, social links
    • About Me - Bio and description
    • Contracts - Working schedules and availability
    • Settings - Locations, products, display options

Editing Employees

Opening an Employee for Editing

  1. Click on an employee name or the "View" button
  2. You'll see the employee detail page with tabs for different sections

Editing Contact Information

  1. Navigate to the Contact Information tab
  2. Modify any of the following fields:
    • Firstname, Lastname, Display Name
    • Role
    • Phone, Email
    • Social media links
    • Photo (click to upload a new one)
  3. Click Save to save your changes

Editing About Me

  1. Navigate to the About Me tab
  2. Use the rich text editor to modify the bio
  3. Format text as needed (bold, italic, underline)
  4. Click Save to save your changes

Managing Contracts

  1. Navigate to the Contracts tab
  2. Create new contract: Click "Create contract" button
  3. Add period: Click "Add Period" on an existing contract
  4. Delete period: Expand a period and click "Delete Period"
  5. Delete contract: Click "Delete contract" button

Editing Settings

  1. Navigate to the Settings tab
  2. Modify any settings:
    • Display Color (click a color)
    • Display on Website (toggle on/off)
    • Locations (select/deselect)
    • Products (select/deselect)
    • Booking Widget (toggle on/off)
    • Menu Items (select/deselect)
  3. Changes are saved automatically as you make them
  4. You'll see a confirmation message when settings are saved

Note: Settings save automatically, so you don't need to click a Save button.

Editing Tips

  • Contact Information requires clicking Save
  • About Me requires clicking Save
  • Settings save automatically
  • Contracts are saved when you create or modify them
  • Use the tabs to navigate between different sections
  • Check your changes before leaving the page

Deleting Employees

When to Delete an Employee

Consider deleting an employee when:

  • They are no longer with your organization
  • They were created by mistake
  • You're cleaning up your employee list

Important: Before deleting, make sure:

  • No active appointments are assigned to this employee
  • No pending bookings depend on this employee
  • You have a backup of important information if needed
  • Historical data (past appointments) may still reference the employee

How to Delete an Employee

  1. Open the employee you want to delete
  2. Click the "Options" button (three dots ⋮) in the top right corner
  3. Select "Delete Employee" from the dropdown menu
  4. Confirm the deletion in the popup dialog

Warning:

  • Deleting an employee cannot be undone
  • This action is permanent
  • Make absolutely sure you want to delete the employee before confirming

What Happens When You Delete

When you delete an employee:

  • The employee is permanently removed from your system
  • They will no longer appear in employee lists
  • They cannot be selected for new appointments
  • Historical data (past appointments, contracts) may still reference them, but the employee profile is gone
  • All contracts and schedules are removed

Bulk Operations

Currently, employees must be managed individually. To edit or delete multiple employees:

  1. Edit or delete each employee one at a time
  2. Use the employee list to quickly find employees you want to modify
  3. Consider exporting employee data if you need to make bulk changes offline

Best Practices

Regular Maintenance

  • Review your employee list regularly
  • Update employee information as needed
  • Remove employees who are no longer with your organization
  • Keep employee photos and descriptions current

Organization

  • Use consistent naming conventions
  • Keep employee information complete and up to date
  • Regularly review location and product assignments
  • Update contracts when schedules change

Before Deleting

  • Check for active appointments
  • Check for pending bookings
  • Consider archiving instead of deleting (if you need historical data)
  • Inform staff if a team member is being removed
  • Export important employee data if needed

Editing Workflow

  1. Use the employee list to find the employee you need
  2. Click to view the employee
  3. Navigate to the appropriate tab
  4. Make your changes
  5. Save (or changes save automatically)
  6. Verify your changes were saved

Data Management

  • Keep employee contact information current
  • Update photos when employees change their appearance
  • Review and update contracts regularly
  • Ensure product assignments match current skills
