Employee Settings

Configure advanced settings for your employees, including locations, products they can perform, display options, and system access.

Overview

The Settings tab allows you to configure where employees work, what services they can provide, how they appear to customers, and what parts of the system they can access. These settings help manage employee availability, booking options, and system permissions.

Accessing Employee Settings

  1. Open the employee you want to configure
  2. Click on the Settings tab
  3. Configure the options below
  4. Changes are saved automatically as you make them

General Settings

Display Color

Choose a color that represents this employee in the calendar and throughout the system:

  • Click on one of the available color options
  • The selected color will be highlighted
  • This color appears in:
    • Calendar views
    • Employee lists
    • Booking interfaces

Available Colors:

  • Pastel Red, Orange, Yellow, Green, Blue, Purple, Pink, Mint Green

Tip: Use different colors for different employees to make them easy to distinguish in the calendar.

Display on Website

Toggle this on if you want the employee to appear on your website:

  • When enabled, the employee's profile (photo, name, About Me, social links) can be displayed on your website
  • Customers can see which team members are available
  • Helps build trust and personal connection with customers

When to enable:

  • Employees who interact with customers
  • Team members you want to showcase
  • Staff who provide services customers can book

When to disable:

  • Internal staff who don't interact with customers
  • Employees not yet ready to be featured
  • Temporary or contract workers

Location Assignment

Assigning Locations

Select which location(s) this employee works at:

  • You can select multiple locations from the dropdown
  • The employee will only be available for booking at the selected locations
  • Each location should have a corresponding contract with working hours

Why this matters:

  • Ensures employees only appear in booking systems for locations where they work
  • Helps manage multi-location businesses
  • Prevents scheduling conflicts

Product Assignment

Assigning Products

Select which products (services) this employee can perform:

  • Only Session type products appear in this list
  • You can select multiple products
  • Only selected products will be available when customers book with this employee

Why this matters:

  • Ensures employees only offer services they're qualified to provide
  • Helps customers book with the right specialist
  • Manages employee expertise and certifications

Examples:

  • Hairdresser might offer: "Haircut", "Hair Coloring", "Hair Styling"
  • Massage therapist might offer: "Swedish Massage", "Deep Tissue Massage"
  • Esthetician might offer: "Facial Treatment", "Waxing"

Tip: Regularly review product assignments to ensure they match employee skills and certifications.

Booking Widget

Booking Widget Availability

Toggle this on to make the employee available in the booking widget:

  • When enabled, customers can book appointments directly with this employee through your booking system
  • The employee appears as an option when customers are making appointments
  • Only employees with this enabled will show up in public booking interfaces

When to enable:

  • Employees who take customer appointments
  • Staff available for online booking
  • Team members ready to accept bookings

When to disable:

  • Employees who don't take appointments
  • Staff not yet ready for customer bookings
  • Internal or administrative employees

Note: For an employee to be bookable, they also need:

  • At least one location assigned
  • At least one product assigned
  • A contract with working hours for that location

System Access Control

Control which parts of the system this employee can access:

  • Select menu items the employee can see and use
  • You can select multiple menu items
  • Only selected items will appear in the employee's navigation

Available Menu Items:

  • Calendar
  • Customers
  • Products
  • Employees
  • Finance
  • Analytics
  • Marketing
  • Settings
  • And more...

Important: This feature requires Lockscreen to be enabled in Settings → App. If lockscreen is not enabled, this option will be disabled.

When to use:

  • Restrict access to sensitive areas (e.g., Finance, Settings)
  • Customize system access based on employee role
  • Limit functionality for part-time or contract workers

Best Practices

Display Settings

  • Use distinct colors for each employee
  • Enable "Display on Website" for customer-facing staff
  • Keep employee profiles up to date

Location Management

  • Assign employees to all locations where they work
  • Ensure contracts exist for each assigned location
  • Review location assignments regularly

Product Assignment

  • Only assign products employees are qualified to provide
  • Keep product assignments current with employee skills
  • Remove products when employees no longer offer them

Booking Widget

  • Enable for employees who take appointments
  • Ensure all prerequisites are met (locations, products, contracts)
  • Disable for non-appointment staff
  • Grant appropriate access based on employee role
  • Restrict sensitive areas to authorized personnel only
  • Review access permissions regularly
